The number arrives, the company exists, and everything seems settled — until a corporate bank account, a financing application or a foreign registry asks for official proof of EIN. At that counter, reciting the digits proves nothing. What is accepted is the IRS document that ties the number to your entity, and producing it is a compliance requirement designed to prevent fraud, not a formality someone invented.
And the number itself is narrower than it looks. An EIN is not a business licence; it does not by itself grant immigration status, work authorisation or a tax classification. It is the federal identifier attached to the entity data the IRS holds — which is why the quality of the original application decides whether the number works everywhere later.
Three ways in, by where the file is stuck.
Which IRS papers are accepted as proof, and how to retrieve one that was lost.
Formation, internal governance, EIN, then the bank-ready set.
Not a licence, not a status, not a tax classification.
A bank onboarding a company, a lender or a foreign registry needs official proof. The number by itself does not satisfy a compliance check built to prevent fraud and money laundering.
Retrieving IRS verification once the original notice is gone is its own bureaucratic process, and it takes time you may not have before a closing date.
The number is tied to the entity data on file. When the address on the IRS record, the W-9 and the bank file do not match, the identifier stops working smoothly.
Nine digits the IRS uses to identify a business for tax purposes: payroll, banking, merchant accounts, certain filings and many KYC checks. It is the only one of the three that belongs to the entity rather than to a human being.
The Social Security Number identifies a person. An EIN is not a substitute for it and does not confer anything it confers — not work authorisation, not immigration status.
The Individual Taxpayer Identification Number also identifies a person: the taxpayer who is not eligible for an SSN. It sits in the neighbouring section of this edition, not here.
The federal identifier, its real uses, and the four things it does not grant.
The definitive list, from formation filing through EIN to a bank-ready set.
Which IRS documents are valid proof, and how to retrieve one that was lost.
A tax document used outside the United States needs authentication on top of retrieval.
An EIN is a nine-digit federal identifier the IRS uses to identify a business for tax purposes.
EIN, SSN and ITIN. Only the EIN identifies an entity; the other two identify people.
Not a business licence, not immigration status, not work authorisation, not a tax classification.
Official proof of EIN comes from the Internal Revenue Service, not from the company that holds the number.
A tax document that has to satisfy a bank, a lender or a foreign registry needs more than retrieval: it needs to be certified, and often authenticated for use abroad. Notary Public Center prepares, certifies and routes U.S. corporate documents for that destination.
